Access QuickBooks Dashboard inside Microsoft Dynamics CRM Online
QuickBooks Dashboard presents real-time data from your QuickBooks company file inside a CRM Contact or Account record. A bubble chart showing sales (or purchases, if it’s a vendor), with each bubble size reflecting the sales amount, helps you quickly compare the sales trend over the past 12 months. A 30/60/90 Balance Summary shows the status of accounts receivables and the Sales Recap shows month, quarter, and year-to-date amounts.
Search for QuickBooks transactions
Click on the "Transactions" in the upper right corner to search for transactions associated with each customer or vendor. You can filter the transactions by dates or by types of transactions (Invoice, Sales Receipt, Vendor Bill, and more). These data are shown for display-only. You can't edit these because your business financial data stay safely stored in QuickBooks.
Migrate customer data using the Bulk Transfer Tool
This tool is typically used when initially setting up the Dashboard to migrate customer and/or vendor data from one app into the other. If you're migrating data from QuickBooks into Microsoft Dynamics CRM Online, you have to specify whether to create Accounts or Contacts, and whether to allow duplicates. Once the correct record is created in the other application, it links the record across both apps so you’re always seeing the latest QuickBooks data from inside Microsoft Dynamics CRM Online (and the reverse).
Send and link data from QuickBooks into Microsoft Dynamics CRM Online
For the daily QuickBooks user, launch the Dashboard from within QuickBooks, search for changed data in QuickBooks, and update Microsoft Dynamics CRM Online from this screen. For the daily CRM user, launch the Dashboard from within Microsoft Dynamics CRM Online and update QuickBooks using a similar method. This feature allows changes made in one app to be updated in the other with a few clicks. Automated nightly synchronization is coming soon!

- How is my QuickBooks data affected? Where is it stored?
- There are two answers:
1. When you first run the BulkTransferTool, your QuickBooks data are copied to CRM Online—or vice versa—and the customer or vendor record is linked across both apps. This one-time event populates one app with data from the other app.
2. Once the data have migrated from one app to the other, your QuickBooks data stay inside Intuit’s servers and are only modified when you change data in CRM (e.g., phone number). In the Dashboard, your financial data are read-only.
- How secure is this application?
- There is an elaborate sign-up process to verify that you are authorized to integrate QuickBooks and Microsoft Dynamics CRM Online. An administrator of both applications must be involved in order to authorize the data access by the Dashboard. Once initialized, there are no logins or passwords stored in the cloud — you'll be required to sign in each day in order to authenticate.
- I want data to synchronize between the two systems. Is that available?
- Thanks for your interest — we're working on that now. We have new features under development that will synchronize data from one system to the other automatically every night. If you've got ideas and requirements for how this should work (or other features), please let us know! Today you can easily update data across QuickBooks and Microsoft Dynamics CRM Online with just a few clicks and avoid manual data entry. Automated nightly synchronization is coming soon.
- Which versions of Microsoft CRM and QuickBooks does this Dashboard work with?
- The QuickBooks Dashboard works with Microsoft CRM Online 2011, North American version only. It does not work with CRM hosted On-Premise or Partner Hosted models. It works with QuickBooks Desktop and Enterprise versions 2009 - 2012.
